Our teams are happy to assist with any of your reclassification or position modification needs. Position Management is the process by which departments determine how jobs are defined, how many positions are needed, and what the organizational structure should look like.

Types of position management actions...

  • Create a New Position: the department requests the creation of a new position for their organization structure.

  • Evaluate a Position Description: the department requests to reclassify or make changes to a position description.

  • Modify a Position Description: the department requests to vacate a position (remove a seated employee), update the position budget number, and/or update the positions reporting structure (change the supervisor).

A bit about the process...

  • Initial submission & turnaround: Requests reclassification or new positions may be submitted by the department HR or Business Office through UGAJobs.  All reclassification actions in UGAJobs must be submitted with an official org chart demonstrating the proposed changes, and the resume of the position’s incumbent. These documents should be combined into one PDF and attached in the “Position Documents” section.  The department will be notified of the acceptance or return of job evaluation materials within 1-3 business days of submission.

  • Meeting with unit: Once a request has been accepted (org charts and resume), the HR team will begin a review of relevant materials, then schedule a position evaluation discussion. This could include, but is not limited to, the incumbent, the incumbent’s supervisor and any other pertinent individuals. This process may take place over the phone or in person.

  • Decision: After reviewing the job evaluation materials and notes from the position evaluation meetings, the Classification team will collaborate to reach a final determination of classification. This decision will be communicated back to the department via UGAJobs/email along with a justification for the decision.

The Salary Administration and Guidelines (PDF) provide more information about appointment rates for new employees, salary increases which place rates above the maximum of a pay range, pay upon promotion due to the transfer or reclassification of a current employee, and pay upon a lateral transfer and demotion. The original UGA Comprehensive Pay Plan is on file in Human Resources. In the event of any discrepancy, the original document will take precedence.
