Onboarding Packet

You will receive an email from [email protected] with the subject line “Your UGA New Hire Documents are Ready.” This message will be sent to the email address that you used in your UGA application. Please be sure to check your junk mail inbox.

If you have not received an email for your electronic onboarding packet by your start date, please contact us. The email will include a default login and password. The system features a 16-minute timeout feature for security purposes.
If timed out, you may revisit the Onboarding system to resume completing the packet, using your login and password.


Security Questionnaire and Loyalty Oath

All employees are required to complete and sign the Security Questionnaire and Loyalty Oath (PDF) as required and defined in Georgia Codes. Forms will be completed and notarized at University Human Resources when you complete your Federal Form I-9. Participants of the Remote I-9 process will be shared specific instructions to complete and securely send to UHR offices.


Federal Form I-9

All U.S. employers are responsible for completion and retention of Form I-9 – Employment Eligibility Verification for each individual hired for employment in the United States, including citizens and non-citizens. As part of the University’s employment process, you are required to complete a Federal Form I-9 to establish your eligibility to work in the United States.

Following acceptance of an offer of employment, you will receive information about how to complete your Form I-9 and the acceptable documents that may be presented to demonstrate identification and eligibility to work.

Section 1 of the Form I-9 will be completed within your Onboarding packet.

Section 2 of the Form I-9 will be completed with a University HR representative or other authorized representative. All documents presented for Section 2 must be original (no copies) and unexpired. A list of acceptable documents can be found here.


Background Check Process

The Chancellor of the University System of Georgia has mandated that background investigations (BIs) be conducted by USG institutions. Background investigations shall be conducted on regular full-time and part-time new hires and rehires, as well as temporary non-student hires. In addition, BI’s will be performed on employees being promoted, transferred, reassigned, or reclassified into “positions of trust (PDF),” unless the University previously conducted background investigations on such employees any time after July 1, 2002. Student hires will be exempt from the BI process, unless federal or state law requires a BI (e.g., working with minors, financial responsibilities, etc.).

Are you employed or have you previously been employed by UGA or within the University System of Georgia?
Please be advised that you will need to share this information with your hiring unit. This will affect your provisioning and access to systems as additional actions may be required from your previous institution. Failure to share this information could also delay payroll processing and/or cause benefits issues. Be sure to disclose additional employment information with your department.

Please note: If you are a current University System of Georgia employee, you cannot begin working for another USG institution without the completion
of a Dual Appointment Agreement.
